Zoom for Zenvents360

Connect your own Zoom account, and every client who books a video call through one of your Zenvents360 booking links gets their own Zoom meeting, made under your account. When the call ends, its transcript and a summary go on that client's event, so a planning call with a couple, a venue walkthrough or a tasting follow-up is on record without anyone taking notes.

What you need

  • A Zenvents360 account on a plan that takes online bookings (a free trial includes it).
  • A Zoom account. Each person in your business connects their own; Zenvents360 never uses one person's Zoom for another's calls.
  • For transcripts: a paid Zoom plan with cloud recording, and Create audio transcript turned on in Zoom (Settings > Recording > Cloud recording). On a free Zoom plan, meetings are still made, moved and deleted, but there is no transcript.

Add Zoom

  1. Sign in to Zenvents360 and open Your account > Schedule.
  2. On the Zoom card, press Connect Zoom.
  3. Sign in to Zoom if asked, review what Zenvents360 may do, and press Allow.
  4. You come back to Your account > Schedule, where the card reads Connected as your Zoom email.

Use it

  1. Still in Your account > Schedule, under Booking links, press Edit on a booking link (or make a new one). Set Where to Video and Video to A Zoom meeting, made for each booking, and save.
  2. When a client books that link, Zenvents360 makes a Zoom meeting in your account for the booked time. Its join link goes in the client's confirmation, calendar invite and reminders, and on the booking in Zenvents360.
  3. If the client reschedules, the Zoom meeting moves to the new time. If the booking is cancelled, the Zoom meeting is deleted.
  4. Each meeting is set to record to your Zoom cloud as it starts, and Zoom tells everyone in the call that it is being recorded. The recording itself stays in your Zoom account.
  5. A few minutes after the call ends, once Zoom has made the transcript, it appears on the client's event as an internal note, with a Meeting Summary note beside it: what was decided, any changes to the event's details, and open questions. Clients never see either note.

Zenvents360 only touches meetings it made for your bookings. It does not read, change or delete any other meeting in your Zoom account, and it does not download recordings' audio or video.

Remove Zoom

Either of these removes it:

  • In Zenvents360, open Your account > Schedule and, on the Zoom card, press Disconnect, then Disconnect it.
  • In Zoom, sign in to the Zoom App Marketplace, open Manage > Added Apps, and press Remove next to Zenvents360.

Either way, Zenvents360 gives up its access to your Zoom account and deletes the access tokens it held. Booking links set to Zoom stop making meetings until you connect again. Meetings already made stay in your Zoom account, and transcripts and summaries already on your events stay there until you delete them from the event.
