The Plan Is on a Laptop at the Office. You're in the Loading Dock.

I've worked events for thirty years, and the worst hour of any of them is the one where the plan is somewhere else and you're standing at a service entrance with one bar of signal. Zenvents360 is now on the App Store for iPhone, free, and it's built for exactly that hour.

What it replaces

You know the kit. A printed run sheet that was right on Thursday. Screenshots of the timeline in your camera roll, between the gear photos. A text to whoever's at the office asking for the venue coordinator's number. A group text of call times that half the crew didn't scroll back to.

The app is the part of your Zenvents360 account you carry. It works with the same account you use on the web, so there's nothing to copy over: the event you planned at your desk is the event in your pocket.

On the day

  • The run of show, with no signal. Every event you're on, with the times worked out and every answer your client gave. It saves to your phone before you leave, so a planner walking a basement ballroom still has the timeline open.
  • Edits wait for the signal, then go out. Change something offline and it sends when you're back in range. If someone else changed the same answer in the meantime, you see both and choose. Nothing gets quietly overwritten.
  • Who to call, one tap each. The client, the venue's contact on the day, your own crew and the other vendors on the event. A photographer who can't find the side door calls the venue straight from the event. Each person sees what your business lets them see.
  • Clock in and record the drive. A caterer's crew clocks in and out at the venue, and records the drive there and back for mileage.
  • Check off the day's list as you go.
An event in the Zenvents360 iPhone app: leave, arrive, start, sunset and end times across the top, the contract paid in full, then the day, venue, participants, timeline and notes

The event: when to leave, when to arrive, sunset, and the whole plan below.

The People screen on the day: your crew with call times, the clients, then the venue, photographer, planner and other vendors, each with call and text buttons

Everyone on the day, yours and theirs, one tap away.

Between events

The business doesn't stop while you're out. A venue manager between two tours, or a DJ on the drive home (parked), can open:

  • Today: what needs you, in order.
  • Your events and leads, with the deal, the payments and the documents.
  • Your inbox: email and texts with clients in one thread, and team chat with your crew.
  • Contacts, to-dos and the numbers that matter.
  • Your calendar, and Find a Gig: events where other pros are looking for help.

Gear

If you run equipment, lighting and AV, rentals, a photo booth, a sound system, the app has a warehouse side. Scan a label to find an item, pick the list for an event, and check it back in when the truck comes home. An item without a label? Print one from the phone.

A client's planning link opened in the app: what is still waiting on them first, then their event, then the agreement, timeline and payments marked done

What your client sees: what's waiting on them, in order.

Your clients can use it too

Your clients don't need it: their planning link still opens in any browser, no password. But if they install the app, they can open their planning link there to read and sign the agreement, pay with Apple Pay or a card where you take Stripe, fill in the timeline, build their Music DNA, keep their guest list, and see the photos and floor plan you share.

Nothing internal reaches them. Your crew's notes, your gear and anyone's pay stay with you.

What it isn't

  • It's the field kit, not the setup. Packages, templates and automations are built on the web at app.zenvents360.com. The app uses what you set up there.
  • It needs a Zenvents360 account. If you don't have one yet, the free trial on the web is where to start.
  • iPhone only, for now. Android is on the way. I'll post here when it's on Google Play, and until then the web app works in any phone browser.
