The Client Emailed the Change. Your Event Record Never Got the Memo.

A client replies to a thread with a new ceremony time. A planner emails over a revised run of show. Someone attaches a signed rider as a PDF. None of it enters the event record on its own - it sits in an inbox until someone remembers to type it in, or doesn't. The AI Prep Inspector reads both sides and tells you where they disagree.

First, it checks the record you already have

Before it ever looks at email, the Prep Inspector reviews the event itself: timed sections left empty, a contact listed in two conflicting roles, someone on the event with no phone number, a last-dance song that is also on the Must Play list (so it could get played early), a song on both a play list and Do Not Play, and other gaps that are visible from the data alone. These are the mistakes that surface at load-in because nobody scrolled back through the whole event to check.

That pass runs on its own and catches a real class of problems. But it can only see what made it into Zenvents360. It has no way to know what a client said in an email three weeks ago that never got typed into the timeline.

Then it compares against your actual inbox

Connect your Outlook inbox - read-only - and the Prep Inspector compares what is in the event against what the client, venue, or vendors have actually said in email. (Gmail support is built, and goes live for businesses after Google's security review.) It reads the folder you keep for that event, plus mail to and from the people on it. A changed start time, a new guest count, a song the client asked for that never made the list, a vendor nobody added to the event, a payment amount that does not match: it surfaces the mismatch instead of leaving it for someone to find during the walkthrough.

It also reads PDF, Excel (.xlsx) and image attachments in that mail, up to eight per run, not just the message body - so a signed rider, a planner's spreadsheet or a phone photo of the floor plan gets checked too. And it reads the documents on the event's own Files tab, up to six: a guest count in the contract you uploaded is what it holds the email's number against.

Your own notes count too. A note from a call or a walkthrough is checked against the rest of the event the same way an email is: a song mentioned on the call that never reached the music lists, or a "no break in the music during dinner" the timeline does not show. An event whose plans live only in its notes gets inspected too, with no inbox connected. Every email, document and note carries its date, and when two of them disagree, the newest is treated as the decision, so a guest count you settled in a note last week is not flagged against the older email it replaced.

Findings, not automatic edits

Nothing the Prep Inspector finds gets written to your event automatically. Every AI-derived finding is clearly marked as something to verify - a flag for you to check against the source email and decide what to do with, not a silent change to your record. You stay the one who updates the event.

Available today for every business type

The Prep Inspector is live now for every business type. The record checks run on their own on the event's Prep tab; the comparison runs when you ask for it, on any event with connected email, a document you added, or notes of its own.

Stop finding out at load-in
